Thanks to you all, the first 40-year celebration was a hit! So great seeing all of the fun social posts and emails that went out! Truly amazing! Now onto the next event on this anniversary train! “80’s in April” Parties! What is it? Our next celebration will be parties held in each My Gym. These parties are similar to the Halloween or Holiday parties all gyms do every year. So, just as with those, you can plan 2-3 parties for this “80’s in April” event. One big difference is that, instead of a fee to attend the party, we will require a donation to the My Gym Foundation. Each franchisee may charge the donation amount appropriate for their market. Dear Franchisees, We wanted to clarify a few items regarding the Heartland migration: All owners should have received their username and password to the Heartland portal in late January. The subject line was Important Global Payments Migration Information, and it was sent by updates@mygym.com. If you did not receive this email, please contact Mae Perez at mperez@mygym.com for the information as well as to confirm the owner email that should be on file. Per the instructions, it is imperative that the original password not be changed. Changing this password will disconnect MGM from Heartland and prevent you from processing payments. Be sure to set up at least one form of multi-factor authentication to secure your account. The Merchant Account section (Admin > Gym > Merchant Account) is no longer applicable to gyms on the Heartland platform. That said, we do not recommend changing anything in this section at this time. Our initial adopters have officially started to use the My Gym App. We have 9 franchisees who have agreed to launch the app, and we are very thankful to have those gyms do this for us. The goal of this soft launch with a minimal number of gyms participating is to identify the last few bugs and make sure the app is working well before we launch to everyone. The hope is that this process will be quick and simple, but we will take it day by day. We wanted to notify you of a few things in regard to sending and scheduling campaigns: 1) The campaigns that were accidentally sent last week may need to be scheduled again. Though the future dates still appear in the Scheduled Mailings section, please delete and reschedule them to ensure they are delivered on time. 2) You may now choose a date and time of day to schedule a campaign. Previously, all scheduled campaigns were sent at 10:00 AM local time. If you do not select a specific time, the default 12:00 AM will be used. 3) Campaigns sent using the SEND CAMPAIGN NOW option will now go out at the next half hour mark. For example, a campaign sent at 10:20 AM will begin delivering at 10:30 AM. Previously, campaigns were sent at the top of the next hour, so a 10:20 AM send would have begun delivering at 11:00...

Dear Franchisees, An update with more details on what to expect with Heartland, the new CC response codes we’re seeing, etc. is in the works pending clarification from the team at Global. In the meantime, we wanted to give you a quick update on a few things: You may see a lot of Invalid Zip Code messages that you are not used to. Currently, Heartland is requiring a zip code for credit card transactions. MGE and Global are working together to determine our options and make this easier on our gyms. Do Not Retry and Retry Later are also new responses we haven’t seen before. They are both a form of Decline, though the latter allows you to try again at a later time. We are awaiting clarification on the difference between Do Not Retry and Decline. If a credit card transaction returns a BLANK response, it did not go through and the customer will remain due for payment. You can try this transaction again. Dear Franchisees, Every merchant account has been transferred to Heartland Portico. A test charge and void were completed in each gym to ensure there was a connection to the new platform. We urge you to log into your Heartland admin portal (contact mperez@mygym.com if you need your login info) to confirm new transactions are coming through. Go to Reports > Activity Log > Generate Report. If you do not see any activity in Heartland and/or if you still see recent activity in your Global portal, please let Mae know ASAP. Other things to know: Heartland is still supported by the same familiar team. To receive the most efficient service (after this initial migration period), continue to contact Julian Brain at julian.brain@globalpay.com or (443) 394-2206. We were informed by Global Payments that they are transferring all accounts to a new platform called Heartland Portico. Tech has been working behind the scenes with Global to implement the new platform in MGM and on the website, and we are ready to roll out the changes. There is nothing for you to do at this moment. Further details will be sent to the owner’s email address on file with MGE. If you do not receive this email by Monday EOD, contact Mae Perez at mperez@mygym.com. Over the last few weeks, we have received reports of birthday parties being booked for 11:30 PM rather than 11:30 AM. All affected parties were booked on the website for time slots that began in AM (e.g., 11:30 AM) and end in PM (e.g., 1:00 PM). The Tech Team is working to identify the cause of this error, as it appears to be sporadic and random. In the meantime, please review all birthday party email confirmations as they come in. Affected parties will show the erroneous time slot in the email.
