Here’s an update from Memo Kahan, the CEO of PromoShop, our merchandise vendor. +++ April 2, 2026 Dear My Gym Franchisees, We sincerely apologize for the disruption and frustration we have caused you and your gym’s operations. We are embarrassed by the challenges you’ve experienced and take full responsibility. In the interest of transparency, we want to share what happened, what has been resolved, and what is underway. What went wrong PromoShop transitioned from the previous vendor too quickly, and there were too many unknowns.    The inventory transfer was significantly more complicated than anticipated due to inconsistent labeling and packaging from the previous supplier, resulting in inaccurate stock counts. The transition coincided with product supplier breaks for Chinese New Year, creating additional supply-chain delays. Existing order history and backorders from the prior provider caused system conflicts and fulfillment issues. Upcoming PCI Compliance Updates – Payment Collection Changes

We want to keep you informed about upcoming system updates designed to strengthen PCI compliance and further protect customer payment information across the network. These updates will be released on Thursday, March 26th. Best practice in PCI compliancy is for team members to not handle and/or see the customer’s credit card. To meet this requirement, the process for collecting payment information will change. Going forward, when a customer needs to add or update a payment method, the gym will send the customer a secure email link. The customer will use that link to enter their own credit card information directly into the system through a secure, PCI-compliant page. This ensures that sensitive payment information is entered only by the cardholder and never handled verbally or visually by gym staff. Many customers already have their card information saved on their phone or computer through autofill, so the process should take about the same amount of time as providing a card number over the phone. Text Request Multi-Factor Authentication

Dear My Gymers, You should have received a couple emails from Text Request regarding multi-factor authentication. The email details everything you need to know. Here are some bullet points: From what we have seen, you will need to take action if you were to log out at any point going forward. Unclear if Text Request will forcibly log you out.  Your current password will not work, and you need to initiate a Forgot Password to reset it. This is when you will be asked to provide a cell phone for MFA. You cannot use your business line; it must be a real cell phone.  Since it is not often that you will be logged out and need to log back in, we do not feel it is absolutely imperative that everyone has their own account and cell phone number configured. Achievement Program: Launch Essentials for Next Week! ✅

We’re thrilled that the Achievement Program for older classes will be live next week! All the details are in the Directives and Implementation Plan, so please review them with your team. A few key items/checklist to prepare: Intro emails: These are in the email system and ready to go—please send them to each of your older classes this week to prep families for the launch. Wristbands: If you haven’t already, order them from Shop My Gym. Skill & Development Sheets: Print the new versions for your classes. Optimizing My Gym Curriculum

Our My Gym Curriculum is carefully designed and highly effective, but we also recognize there’s a lot to learn, remember, and cover during weekly meetings. To make it simpler for teachers and save time, many elements of the curriculum have been aligned, as you will notice beginning 3/23. This streamlining is intended to make training more efficient and your weekly meetings less time-consuming. Some of the streamlined elements you may observe include: Songs, Dances, and Endings will often be aligned in younger classes. Minor Obstacles (with variations) will now be aligned between Ninja Jr andNinja Training classes. Weekly Skill name has been retired; Preschool Gymnastics andNinja Jr classes will now share the same Conditioning Skill. Liability Waiver Updates: Action Required

The standard liability waiver language has been updated to remove references to COVID-19 and provide clearer language for the different types of activities offered at My Gym (in-gym programs, birthday parties, and offsite/mobile events). Because waiver language may already be updated and customized by the individual gyms, these updates cannot be pushed system-wide and must be updated individually by each location if needed.Please note that changing the default legal language in MGM does not alter any completed/signed waivers already on file. Review the updated waiver language in the document linked below and update the applicable areas within your gym’s systems and materials. We are excited to announce a new AI-powered dashboard in MGM designed to give you key insights into your business. The dashboard is a work in progress; it will get smarter as the months go by and as more data is collected. Please be advised that MGE does not have a partnership or arrangement with Yelp for their advertising platform. We do not have a Yelp/My Gym rep. We do NOT advise franchisees to advertise with Yelp for various reasons: – Yelp already ranks high in search results organically – as in without your paying them.– They claim they will “remove your competitors from your page,” but this is not necessary, as your local My Gym likely has only 1-2 true competitors. There is no one to remove. For example, if you ran a dry cleaners or a pizza shop, you would have many local competitors. In that case, it might make sense to remove them from your Yelp page. – People who want to research you are going to Google “My Gym reviews” or “My Gym (your city) reviews,” and Yelp will come up for free as one of the top 3 results. Credit Card Processing and PCI Compliance

We have received reports of some gyms encountering an “Unexpected Gateway Response” error when processing batch or manual payments in MGM. This issue is related to a PCI compliance configuration. In these cases, the payment typically processes successfully when retried approximately one minute later from the family account. At this time, we do not believe customer-initiated website transactions are impacted. Our development team is working with Global Payments/Heartland to resolve the issue, though an estimated timeline is not yet available. If you have recently received a PCI Compliance questionnaire, please note that there are system updates required to ensure full compliance, including possible changes to how credit cards are manually entered in MGM. Merchandise Vendor Transition Notice

Hey there, We’re sharing an important update regarding merchandise fulfillment. MGE is transitioning vendors from OCC to PromoShop. During this changeover, outgoing shipments will be temporarily paused for roughly two weeks. Any orders submitted by the end of day 1/31 will still ship from OCC before inventory moves to the new warehouse. Once the transition is complete, order fulfillment is expected to restart shortly thereafter. We’re targeting a return to shipping on or before 2/13. To stay fully stocked, gyms are encouraged to order only as much as they need for the next few weeks so there’s enough for everyone.
